The Administrative Assistant will provide essential support to the administrative and clinical teams, ensuring smooth and efficient operations. This role requires excellent communication skills, proficiency in office management, and a compassionate attitude towards home care services.

Essential Job Duties:
  • Perform general office duties including answering phones, responding to emails, and managing correspondence. 
  • Schedule and coordinate appointments, meetings and client visits
  • Prepare and maintain client and staff records, ensuring all information is accurate and up-to-date.
  • Assist with collecting onboarding documents for caregivers.  
  • Maintain accurate and organized filing systems for both physical and electronic documents. 
  • Prepare and distribute reports, memos, and other documents as needed.
  • Ensure compliance with all regulatory and agency documentation requirements.
  • Serve as the first point of contact for clients, caregivers, and other stakeholders, providing excellent customer service. 
  • Address and resolve inquiries from clients and caregivers, escalating issues to the appropriate team members as necessary.
  • Monitor and order office supplies, ensuring that essential items are always in stock. 
  • Manage office equipment and arrange for maintenance and repairs as needed.
  • Assist with troubleshooting basic IT issues and liaise with IT support as necessary.
  • Ensure all data is entered accurately and maintained securely.
  • Other duties assigned.

Qualifications:
  • Education and Experience
  • High school diploma or equivalent required; associate or bachelor’s degree preferred.
  • Minimum of 2 years of administrative experience, preferably in a healthcare or home care setting.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software.
